What we will do
We will prepare and customize this system specifically
for your use, so there will be very little that you will need to do when you
receive it.
See the above tabs for specific information about what
we will do to prepare this phone system.
What you will need to do
- You will need to answer and send back a questionnaire
that we will e-mail to you following your purchase. Your answers will be
used to help us custom configure the phone system. Note that we will not
ask you for any passwords, and we will keep all information that you provide
to us confidential.
- You will need to plug the phone company-supplied
outside phone line connectors into the TalkSwitch box; then you will need
to connect the TalkSwitch box to your network and verify connectivity.
- You will need to connect each IP phone to your
network.
That's it! Rest assured…we will provide you with complete
instructions to accomplish
your tasks, and we are here to help you if you run into any snags during the
process.

How this phone system fits into your current Local Area Network
This diagram shows the physical connections between the products
that are a part of this package, as well as their relationship to a sample local
area network (LAN).

IMPORTANT: TalkSwitch TS-350i and TS-550i
phones have a network pass-through feature that allows one computer and one
IP phone to connect to your LAN switch using one cable (as shown in the above
diagram). TalkSwitch, however, does not recommend doing this if:
- more than 8 IP phones will be connected to the LAN, which
might degrade signal reliability.
- your LAN is based on Gigabit architecture (1000Mbps),
because the signal that passes through the phone to the computer will degrade
in speed to 100Mbps.
In either case, simply adding an optional 5-port gigabit switch
to your order will circumvent the problems. It will split the signal from the
single LAN cable and allow you to independently attach both your digital phone
and your computer to the LAN while maintaining the intended data speeds.

TalkSwitch 240vs Small Business Phone
System Box
How it works
This
phone system gives your small business the features and functionality previously
available only to large companies. We use this system in our office and we love
it.
Here are the basics of how it works:
- Traditional external phone lines supplied by your phone
company plug into the TalkSwitch box.
- The TalkSwitch box connects to your network.
- Up to 16 TalkSwitch IP digital telephones connect to
the TalkSwitch box from locations throughout your office using the local
area network (LAN). These phones connect with an Ethernet cable and do not
use standard telephone wiring.
- The TalkSwitch box, which is preconfigured by us, seamlessly
routes incoming and outgoing calls, as well as faxes, to and from extensions.
It also routes calls to and from remote extensions, such as cell phones
and home phones.
- If you employ a stand-alone fax machine in your office,
it will be plugged directly into one of the four analog ports on the back
of the TalkSwitch box using a standard telephone cable. You no longer need
a dedicated fax line. Fax calls are automatically routed from any phone
line to your fax machine.
Key Features of the TalkSwitch Phone System
TalkSwitch phone systems are loaded with features. Here are
just some of the features that we consider to be the most important to small
businesses:
- Auto Attendants―up to 9 levels of prerecorded
messages greet and direct callers to specified extensions or ring groups.
- Voicemail―built-in for each telephone
extension. Messages can be retrieved on the desktop telephone by calling
into the system from anywhere in the world or by listening to the audio
file attached to the e-mail that you receive from the TalkSwitch phone system.
- Voicemail to E-mail―notifications of
received voicemails, including attached audio files of the actual message,
can be sent automatically to specified e-mail addresses directly from the
TalkSwitch box.
- Automatic Fax Detection―automatically
routes fax calls from any outside line to your stand-alone or multi-function
fax machine. This means that you no longer need to pay for a dedicated fax
line.
- Conference Calls―allows three parties
to create a conference call.
- Intercom―call another office telephone
extension.
- Music On Hold―callers listen to your
choice of music or to a custom message while on hold or while being transferred.
You can use one of the numerous TalkSwitch music clips, you can upload a
unique sound file to the TalkSwitch box, or you can connect a radio or iPod
or CD player to the TalkSwitch box's audio input port.
- Ring Groups―ring multiple extensions
simultaneously for an incoming call. Example: a call coming in for the Sales
Department could be set to ring all of the telephone extensions in that
department.
- Mode Scheduling―change how the system
routes calls at different times of the day, on different days, and on holidays.
Example: during evenings and weekends, a call to your tech support department
can be automatically forwarded to a technician's mobile phone.
- Call Back/Call Bridge―employees on the
road can connect to the TalkSwitch system from anywhere in the world and
use it to make outgoing calls. This is especially valuable if your office
uses a long distance savings plan.
- Call Cascade―if an extension isn't answered,
the system will automatically route the call through a list of other extensions,
including mobile and home phones, in a specified order. If no one picks
it up, the call can then finally be routed to a designated voice mailbox.
- Call Forwarding―can be programmed to
automatically send calls to any phone, anywhere or to a specified voice
mailbox.
- Call Queue―manages multiple simultaneous
inbound calls. Callers will be placed in a first-in, first-out priority
queue allowing one or more employees to pick up calls in the order they
were received.
- Automatic Caller ID-based Routing―if
the caller ID service is in place, important incoming calls can be automatically
and immediately routed to the appropriate party. Similarly, calls from known
telemarketers can be automatically ignored.
- Automatic Route Selection―certain outgoing
calls can be automatically routed to specified outgoing phone lines. This
feature is perfect for companies that want all long distance calls to go
out through a specific phone line that uses a long distance calling plan.
- Direct Line Access―extensions can be
programmed to automatically select a specific outgoing phone line when the
handset is picked up.
- Overhead Paging―use an amplified speaker
connected to the TalkSwitch box and then page from any telephone extension.
- Distinctive Rings―identify callers by
programming unique ring tones for them.
- Remote Extensions―up to 10 offsite landline
or mobile phones can receive and transfer calls just like internal extensions.
- Remote Management―managers and support
people can manage critical elements of the system remotely and securely
over the internet.
- Call Detail Logging―you can assign account
codes to calls and track their lengths, which gives you a records that can
be used for invoicing.

What we do
The TalkSwitch box employs very extensive software that's
used to configure the many available features; but, not to worry. We will do
most of the work for you. We will send you a detailed questionnaire upon your
purchase, and we will use the answers to tailor the system to your specific
business needs. Additionally, we will record the initial greeting messages for
the set of system auto attendants.
When you receive the phone system, there will be very little
you will need to do beyond physically connecting each part (see the Overview
tab under What you will need to do).
Remember, if you have difficulties during your installation,
we are here to help. If necessary, we can even connect to the TalkSwitch box
remotely to assist you.
A note about analog
telephones: The option to connect any analog phone to the system
exists, and they will work with this system. However, we recommend the use of
only TalkSwitch-branded digital IP phones for several reasons:
- Unlike IP phones, which can connect from any network-accessible
location in your office, analog phones require a dedicated phone line from
a port on the TalkSwitch to each telephone extension; they cannot use the
LAN connections.
- Analog phones use slightly different, and more complicated,
key-commands to interact with the TalkSwitch box, which makes support more
complex.
- Analog phones cannot display which outside phone lines
are in use or are available.
TalkSwitch
TS-350i IP Phone
This phone is perfect for most small business users. It is
solidly built and has all of the core features your employees need. We use this
phone in our office.
We include one TS-350i's with this package and offer
you the option to purchase additional units.

What we do
- We unpack and inspect each TS-350i and its accompanying
parts and paperwork.
- We connect the phone to your TalkSwitch phone system
and configure it based upon the information that you provide to us in the
questionnaire. The only thing that you'll need to do is to plug the phone
into your network and then, using our exact instructions, assist each user
to record his or her personal voicemail message.
- We test every ability and function before repacking the
phone for shipment.
Tripp Lite Internet Office 350VA Uninterruptible Power Supply
This
UPS protects the phone system from such maladies as dirty AC from the wall,
power surges, brownouts, and complete blackouts. This UPS is capable of protecting
the TalkSwitch and several additional devices, such as a network switch or a
router—perfect if you plan to place the TalkSwitch box near your network equipment,
which is often the case.
OPTIONAL HARDWARE
TalkSwitch TS-550i Receptionist's IP Phone
This
phone is a top-of-the-line TalkSwitch phone. We recommend it for receptionists
who need to screen and direct incoming calls and to users who spend a majority
of their day on the phone. This phone incorporates all of the functions of the
TS-350i, but also offers several additional features, and it is expandable.

- 22 programmable multicolored LED keys (up from 6 on the
TS-350i)
- Backlit LCD display
- Future expandability if your needs outgrow the base features:
- Up to two additional expansion modules can be added.
Each has 12 more programmable keys (not included with this TS-550i option)

TalkSwitch TS-860i Wireless Base Unit & Handset
The TS-860i kit gives you incredible power and flexibility
to place telephone extensions throughout your facility―in places without network
connectivity, with employees who don't work at a dedicated desk, and even with
employees who need a telephone with them as they move around the office, warehouse,
or outside.
Only the base unit needs to connect, with a network cable,
to the TalkSwitch box. Each handset connects wirelessly to the base unit.
How to Buy
You can use up to three handsets per base unit, and you can
employ up to five base units per location for a maximum of 15 handsets.
Your first TS-860i option will include one wireless base unit,
one wireless handset, and the handset's charging cradle (the last is not shown
here). The second and third options each includes one additional handset and
charging cradle .

and their accompanying parts and paperwork.
- We connect and configure the wireless base unit with
your TalkSwitch phone system. We wirelessly connect and configure each TS-860i
handset with the base unit. We then personalize the entire wireless system
based upon the information that you provide to us in the questionnaire.
- We test every ability and function before repacking each
part for shipment.
NETGEAR ProSafe 5-Port Gigabit Switch
In
most offices, only one network jack is present at each computer station. This
is problematic when both a computer and an IP phone need to connect.
One way around this issue is to use the network pass-through
feature on the TS-350i and TS-550i digital phones, but this is not always advisable
(please see the bottom of the Overview tab for more information).
If your network doesn't meet the criteria explained on the Overview
tab, you will need a network switch at each location in your office where there
is both a wired IP phone and a computer.
We use a NETGEAR ProSafe business-grade Gigabit switches at
each computer station in our office; they come with a lifetime warranty, and
are offered as an options for this system. We include a 14 ft. Cat6 Ethernet
patch cable with each switch.
